Seasonal Work Makes Monthly Numbers Lie

Plenty of work here runs on a season. Landscaping and lawn care through spring and summer, HVAC in a valley that hits triple digits, anything working around harvest, and construction that slows when the ground is wet.

That matters for the books in a specific way: a single month is not evidence of anything. A profit and loss for July says the business is thriving and a profit and loss for January says it is failing, and both are the same business. What is worth watching is the rolling picture and the cost side. A seasonal business that does not know its in the busy months has no way to price the quiet ones.

It also changes how a catch-up gets scoped. Missing months in a seasonal business are not evenly sized, and the busy months are usually the ones with the most transactions to rebuild.

Trucks, Trailers And Equipment

Service businesses here run on vehicles and equipment, and most of it is financed. This is the single most common thing recorded wrong in the books of a small trade business.

  • A financed truck is an asset and a loan, not an expense in the month it was bought. Recorded as an expense, that month looks catastrophic and every month afterward looks better than it is.
  • The payment splits: part of it reduces the loan, part of it is interest. Recorded as one lump, the loan balance on the balance sheet never moves.
  • Fuel, repairs and insurance belong with the work, not with office , or gross margin on the job means nothing.
  • Equipment bought outright still belongs on the balance sheet if it is worth keeping there, and your tax preparer decides how it is treated at year end.

None of that is unusual. It is just the part a bookkeeper who has never worked with a trade business gets wrong. The mistake then grows, because the wrong loan balance is carried into every year after it.

Cash Jobs And Mixed Spending

Two things go together in owner-led businesses, here and everywhere: money that arrives outside the card processor, and one card that pays for both the job and the groceries.

Neither is a problem for the books as long as it is recorded. Cash that never reaches the books makes every report understate the business, which is exactly the wrong direction when you want a loan or a lease. Mixed spending is normal in a family business, and it simply has to be split. That is a categorization job, not a judgment about how you run things.

What does cause trouble is guessing. Anything genuinely ambiguous comes back to you as a question rather than being recorded quietly, because a guess in the books is indistinguishable from a fact a year later.

Subcontract Labor

A lot of the work around here is done with subcontractors rather than employees, particularly in construction, landscaping and trucking.

In the books, subcontract cost belongs with the job it was paid for, above , not in overhead with the office costs. Get that wrong and the reports say the business has a healthy margin and high overhead. What is really happening is that the work costs more to deliver than anybody realized.

Whether somebody should be a contractor or an employee is a legal and tax question, not a bookkeeping one, and it belongs with your CPA or an attorney. What the books do is record what actually happened, accurately enough that the conversation with them is a short one.

Books That A Lender Will Accept

There is a common reason people here go looking for a bookkeeper. A bank, an equipment lender or a leasing company asked for financial statements, and what came out of the software was not something anybody wanted to hand over.

What they usually want is a profit and loss statement and a balance sheet for a period that is complete and reconciled. The numbers also have to be consistent between years and match what was filed. Books that are behind, or that show a loan sitting in income, will hold that up. If that is where you are, the books have to be current and correct before the conversation with the lender is worth having. That is catch-up or clean-up work, depending on which one is wrong.

What To Look For When You Hire One

Worth asking whoever you talk to, including us:

  • Who actually does the work, and who checks it before it is finalized. Ask for a name.
  • How fast you get an answer when you ask a question, and whether asking costs money.
  • Whether the price is flat or hourly, and what makes it change.
  • Whether the accounting subscription is in your name. If it is in theirs, moving on later is harder than it should be.
  • What you get every month besides the statements: whether anybody explains what changed.
  • Whether they are honest about what they do not do. Payroll, sales tax and tax filing are separate jobs, and a bookkeeper who claims all of them is worth a second question.
